How many phone calls and emails do you handle in a day? We can show you with Microsoft Power BI. In business services, it is often difficult to determine how to improve efficiency. Because where exactly is time spent?

Cees Bas from e-BusinessTravel puts it to the test

A team of business travel specialists works hard day (and night!) to offer clients a worry-free trip. Almost all contact is by email or phone. Whether someone wants to travel to Sydney today or tomorrow, it is crucial that everything is arranged correctly and quickly. To optimize that response time as much as possible, e-Business Travel delved into company data.

Where is the workload?

Three information flows are linked:

  1. Logging in: when an employee logs into the internal system
  2. Emailing: when are emails sent during the day?
  3. Calling: how many calls are actually handled? And when?

Without focusing on the content of communications, activities are logged, providing insight into workload throughout the workday. This is done in real time.

Is there a strike in Frankfurt? We will immediately see a spike on our dashboard. For us, that is the moment to deploy our team based on real-time data.

Serving customers well with Microsoft Power BI

Another approach to the dashboard is analyzing working time by customer type. As Frans Fiegge of e-Business Travel explains: "We have a wide range of customers. Take two extremes: a business group trip or an individual traveler. The group trip naturally takes us much more time to prepare. But how much? We now know, thanks to the Power BI dashboard. This allows us to work with the right number of FTEs in our team for each customer type, but also allows us to create increasingly accurate quotes. After all, we have more insight into how much time this type of customer costs us."

Even telephone data can be analyzed

This project uses data from telephone and email, among other sources. It is not about the content, but about specific signals that are captured. Our colleague Nigel Bakker built a beautiful Power BI dashboard for this, which summarizes this multitude of sources in a clear and concise manner.

We are often amazed by the sheer number of data sources available. Take, for example, the financial data from Exact Online, but sources like LinkedIn, Google Analytics, Microsoft Dynamics, Excel, and supply chain data are also readily available.

Making meaningful use of Microsoft Power BI

Our colleague Nigel: "I always find it incredibly valuable when our built Power BI dashboards contribute to daily management. You get to focus on things that are seemingly very important to a client. Putting that into a real-time and understandable format is really fantastic. It gives entrepreneurs and managers the opportunity to take things to the next level. I am happy to contribute to that."
